2. Overview
This website presents the planned Connexvia platform. It offers no registration and no way to upload files. In addition to the email address, a contact form with email confirmation is available for enquiries (section 5).
The website sets no cookies, embeds no analytics or advertising services from other providers and loads no content from third-party servers. Fonts and images are served from the same web server as the pages.
3. Hosting of the website
The website runs on a self-managed server that the operator rents from STRATO GmbH. Server location: in the European Union (as stated by STRATO for dedicated servers; no specific data centre is named there).
When the website is accessed, the web server processes technically necessary data: IP address, date and time, the address requested, the amount of data transferred, the status code and information about the browser and operating system.
If your browser opens the home page without specifying a language, the server uses the language setting transmitted by your browser to choose the German, Turkish or English version. This information is used only for that choice and is not stored for it.
The purpose is to deliver and secure the website. The legal basis is the legitimate interest in a secure and functioning service (Art. 6(1)(f) GDPR).
Website access and error logs are rotated and compressed daily; the server administration is configured to keep no more than seven older archives of them. The mail server log is rotated by size (from 10 MB, no more than three compressed archives). These settings do not result in a fixed retention period in days. In addition, messages from server services, such as the mail server, may be stored in the server’s system journal; its volume is limited by storage size, and no time limit is configured for it.
In addition, the server is backed up daily (usually as a partial backup, once a week in full). The backups also include the log files, the mailboxes and the files stored on the server, and therefore also contact requests and sign-ups for the launch notification. They are stored on the server and additionally, transmitted in encrypted form, in cloud storage from Cloudflare (Cloudflare R2) whose storage location is restricted to the European Union. The configuration keeps no more than three full backups per storage location (server and cloud storage), plus the partial backups based on them. The most recent manually created backup is not removed automatically by this regular rotation; we check separately whether older manually created backups are still needed. The deletion and storage information in this policy relates to the live data: deleted data may still be contained in a backup until it is replaced by newer backups or deleted. This does not result in a fixed period in days. Backups are used only to restore operation after a failure.
A data processing agreement pursuant to Art. 28 GDPR is in place with STRATO GmbH.
4. Contact by email
If you email us, we process your details (name, contact details, content of the message) in order to reply to your message and, if you wish, to inform you about taking part in the platform.
The legal basis is Art. 6(1)(b) GDPR where the processing is necessary for the performance of a contract with you or in order to take steps at your request prior to entering into a contract. Otherwise – for example for general enquiries or if you write on behalf of a company – the legal basis is our legitimate interest in answering enquiries (Art. 6(1)(f) GDPR).
The mailbox for contact@connexvia.com and privacy@connexvia.com is operated on the same server as the website.
We store your message only for as long as is necessary to deal with your enquiry and any subsequent handling. Once this is no longer the case, it is deleted unless statutory retention obligations prevent this; if such an obligation exists, the message is kept only for its duration and only for that purpose.
We do not pass your details on to employers or recruitment agencies.
Please do not send copies of ID cards or passports, or any health data.
5. Contact form with confirmation
Via the contact form you submit your email address, your message, whether you are writing as a job seeker, an employer or a recruitment agency, and optionally your name. Providing this information is voluntary; without an email address and a message, however, we cannot answer your enquiry. The request is first stored unconfirmed on the server named above, and you receive an email with a confirmation link. This email does not contain your message.
Only when you select “Confirm request” on the linked page is the request forwarded as an email to contact@connexvia.com. From then on, the description of storage in section 4 applies to it. We send confirmation emails from notifications@connexvia.com.
The confirmation only shows that there is access to the mailbox provided. It is not a verification of your identity.
Unconfirmed requests become invalid after 24 hours and are deleted, including their content, during the hourly automatic clean-up. After forwarding, the content is removed from temporary storage; for seven days only a random identifier, check values and the time are kept, so that a repeated click does not create a second request.
To protect against misuse, the number of requests per IP address, per email address and in total is limited. For this purpose only values converted with a secret key are stored – no IP or email address in plain text – and they are deleted after two days at the latest.
Limiting the number of requests to protect against misuse is based separately on our legitimate interest in a secure contact form (Art. 6(1)(f) GDPR).
6. Notification when the portal launches
In the contact form you can voluntarily tick a box asking us to notify you once by email when registration for Connexvia opens. The box is not pre-ticked; your request works without this consent as well.
The notification only becomes active once you open and confirm the link in our confirmation email. We then store, separately from contact requests: your email address, the selected target group and language, the version of the consent text and the times of the request and the confirmation. We do not store the text of your message for this purpose.
The legal basis is your consent (Art. 6(1)(a) GDPR; for the email additionally Section 7(2) UWG, the German Act against Unfair Competition). You can withdraw it at any time with effect for the future – via the link in the confirmation email or by email to privacy@connexvia.com. Withdrawal does not affect the lawfulness of processing carried out on the basis of your consent before its withdrawal.
We send at most one notification. After it has been sent, after a withdrawal, or at the latest 24 months after your confirmation if registration has not opened by then, we delete your email address from the list. To prove consent, sending or withdrawal, we then keep for no more than twelve months only a version of the address converted with a secret key (not plain text), together with the times and the text version.
No account is created. The notification is not a promise of registration, verification or placement.
7. Recipients and third countries
Recipients are the service providers used to operate the server and the mailbox, insofar as they act on behalf of the operator, and the provider of the cloud storage for backups (section 3).
We use Cloudflare R2 to store the backups. The provider is Cloudflare, Inc. (USA); the data processing agreement (Cloudflare Customer DPA) forms part of Cloudflare’s terms. The storage location of the backups is restricted to the European Union. Where data is transferred to the USA in this context, Cloudflare relies on the EU-US Data Privacy Framework and, in addition, on the European Commission’s standard contractual clauses.
The agreement, including the transfer provisions, is available at www.cloudflare.com/cloudflare-customer-dpa. You can obtain a copy of the safeguards agreed there (standard contractual clauses) on request from privacy@connexvia.com.
The website and mailbox run on the server named above; the website does not embed services from other providers. In the data processing agreement, STRATO contractually undertakes to process data, as a rule, predominantly in the EU or EEA and, in the event of a transfer to third countries, to ensure that the requirements of Art. 44 et seq. GDPR are met. Where your own messages and our replies to you are also processed depends on your email service and its processing locations, not solely on your address or domain. If your email service processes messages outside the EU or EEA, our reply to you will reach that location.
8. Your rights
Subject to the statutory requirements, you have the right of access, rectification, erasure, restriction of processing and data portability.
Where data is processed on the basis of legitimate interests, you may object on grounds relating to your particular situation. You can withdraw any consent at any time with effect for the future; this does not affect the lawfulness of processing carried out before the withdrawal.
You can lodge a complaint with a data protection supervisory authority. The authority responsible for the operator is: Landesbeauftragte für Datenschutz und Informationsfreiheit Nordrhein-Westfalen (LDI NRW), Kavalleriestraße 2–4, 40213 Düsseldorf.
Please send any data protection enquiries to privacy@connexvia.com.
